Customizable Bates/Page Stamping.
Customizable Bates Stamping allows you to electronically add a unique Bates number as well other useful and unique identifiers selected from a menu of over 16 different options.  This facilitates quicker indexing and information point-of-reference that is used for record review and presentation.

Searchable Text with OCR TechnologySearchable Text with OCR Technology.
The Searchable Text service converts scanned images of the records into searchable text using Optical Character Recognition (OCR) technology. Use Adobe Acrobat Reader® to rapidly search the scanned records for names, dates, keywords, or any other text or data, thus helping you find key information more quickly and thoroughly than manually reading through the records. The original image of the records is preserved, and the words are highlighted where they appear on the page when you do a search.

Customized Sub-Accounts with default Preferences.

Create multiple sub-accounts within one master customer account.  A single login eliminates the hassle of remembering several different ID's and passwords. Each sub-account can be customized with your desired preferences and/or billing methods. Assign pre-set preferences such as "rush status" in a simple one-click process. Use sub-accounts to organize requests by department, office location, case name, user name or separate billing accounts.

Customizable Indexing.
Indexing organizes a medical record by category and/or chronological sequence. All records will be indexed in the same sequence of categories, which allows a certain type of record to be accessed quickly and identifies missing types of records. This service relieves your staff of tedious, manual organizational work.

Tips & Hints:

Ensure Quick Turnaround for Medical Record Requests

Often medical providers will require a special authorization to be completed if the initial authorization is not filled out completely or correctly.  To improve the chances of your initial authorization being accepted, be sure to do the following:

1. Authorization form.  Make sure the authorization includes ALL of the following:

·  Patient & provider information

·  Law firm and/or MediConnect's information (when applicable)

·  Dates of services (entered clearly)

·  Applicant's signature and date (most authorizations are valid for only 60-90 days)

·  A complete list of Authorization clauses can be found in RapidRetrieve under "forms & utilities"

2. Provider Information. Include as much detail as possible. Provider name and telephone number are required, but additional details (e.g., provider's current address) increase your chances of an accurate and timely response.

3.  Patient Information.   Double-check the patient information and verify that name, date of birth and SSN are all correct. Providers require these for verification and confirmation of record availability.

Beasley Allen Solves Medical Record Overload

Customer Spotlight

Beasley Allen Law FirmBeasley, Allen, Crow, Methvin, Portis & Miles, P.C., one of the country's premier law firms, focuses on business litigation, environmental, product liability, personal injury, consumer fraud, toxic tort and mass tort pharmaceutical cases.

The firm averages over 1,000 medical record requests/month and statute of limitations deadlines requires fast turnaround. The firm generally obtains a limited set of records at the initiation of a case to determine merit and fit.  Cases that go forward require large volumes of detailed records from numerous sources to complete trial preparation.

"After studying many of the problems we were facing, and after researching the options we had available to us, our solution was to outsource the medical record retrieval process to MediConnect," said Linda Reynolds, Section Head Administrator at Beasley Allen.  "Our firm has realized significant time and cost savings with the outsourced MediConnect Solution."

Increased Scale. The firm increased the number of records pulled each month and the volume of records requested handled by each staff member.

Reduced Staff. Several employees were moved to more productive work and job openings were eliminated.

Faster retrieval. Turnaround times improved dramatically.

Better tracking. Retrieval status is now immediately available to attorneys. Separate calls to each records provider are no longer necessary.

Simplified accounting. The single-source relationship with MediConnect eliminates the burden of cutting checks for individual invoices to each provider.
